That sounds nice and creates a full house. But as an administrator, you immediately feel the pinch: what about privacy? Are you allowed to share names and phone numbers? What if Jan doesn't want to be found at all?

Before you know it, you're caught between two worlds. On the one hand, you want to facilitate and connect. On the other, the strict GDPR legislation hangs over your membership administration like the sword of Damocles.

Let's first look at the problem we're solving. Nothing is more expensive than an empty court. Often, that court isn't empty because there's no interest, but because the logistics are flawed. Imagine: a dedicated member wants to play tennis, but their regular partner is on vacation. They call reception: "Do you know anyone?" You scroll through your system, call three people, leave voicemails... and before you know it, you've spent half an hour just booking for twenty euros. Or worse: you do nothing, and the court remains empty.

There has to be a smarter way to do this. You want members to be able to arrange their own matches. They want to be able to invite a fellow player directly when booking, or even search the membership list. This stimulates community building within your club. Members meet new people, play more often, and stay longer. But as soon as you open up databases to members, all the alarm bells go off. And rightly so.

1. Masking names

Suppose your member, Pieter, wants to reserve a court and is looking for an opponent. He opens the search function in the reservation system. If he were to see a list of full names, addresses, and mobile numbers, you'd have a data breach that wouldn't be very good for the Dutch Data Protection Authority.

That's why Pieter doesn't see complete data in i-Reserve . The system automatically applies name masking. If he searches for "Jansen," the system will display, for example, "Jan J." or "Piet J." This is a crucial detail. It provides just enough information to know if you're looking at the right person (especially in combination with the avatar, more on that later), but it protects the identity from random snoopers. The full surname remains safe in the database and doesn't appear on the screen.

2. Email addresses remain confidential

The same goes for contact information. It's certainly convenient for members to be able to email each other, but you don't want your members' email addresses to be leaked or used for spam.

When a player is searched for and invited, i-Reserve acts as a secure gateway. The email address in the search screen is partially masked (for example, j***@hotmail.com). This allows the searcher to verify, "Yes, this is probably the John I'm looking for," without revealing the exact address.

Does the system then send the invitation? This is done via a so-called BCC (blind carbon copy) method or directly from the system, without the recipients seeing each other's email addresses if they don't want that. Secure sending is paramount.

The Face of the Club: The Power of Avatars

Now I hear you thinking: "If I only see 'John J.' and half an email address, how can I be sure I'm inviting the right John?"

Fair question. In a club with 500 members, there are bound to be three named Jan with a last name starting with a J. This is where the human element comes in: the avatar.

Because textual data (names/emails) is privacy-sensitive, visual recognition is the safest and most attractive solution. i-Reserve offers the option of displaying profile pictures or avatars in search results.

This is where you, as a club manager, can make a difference. Encourage your members to upload a profile photo.

  • It makes the system more personal and user-friendly.
  • It immediately solves the identification problem. ("Ah, that's the guy in the red cap!")
  • A photo, if posted voluntarily, is a safe means of identification within a closed platform.

The result is a digital membership list that feels like a canteen face book, but with the security of a bank vault.

How does the process work? (From searching to books)

What does this look like for your customer? Let's walk through the process. Simplicity is key, because no one wants to read a manual before they can play a round of golf.

  1. The setting: As an administrator, you specify that a tennis court requires a minimum of 2 and a maximum of 4 players. This activates the search function.
  2. Booking: A member (the booker) selects a time slot. The system asks, "Who's playing?"
  3. Search: The booker types in a name. The system displays the masked results ("Jan J.") along with the profile picture.
  4. The guest option: If someone isn't registered yet, the booker can select "Add guest."
  5. The invitation: As soon as the booker confirms, i-Reserve automatically sends emails with a unique acceptance link.
  6. The confirmation: Only when the other players click on the link and accept will the reservation become final (depending on how you want to arrange this).

Everything starts with consent

Technology is great, but trust is better. You can't just turn these features on without getting your members on board. Community building should never be forced.

i-Reserve stipulates that members can only be found if they explicitly consent. This is called consent.

  • Only members with an active user profile are visible.
  • When creating an account, you can specify that the member must explicitly check a box: "I want to be found by other members."
