i-Reserve and Outlook
With Outlook your bookings appear as appointments in Microsoft 365, changes in Outlook carry through to i-Reserve, and appointments in your meeting room calendars automatically become bookings.

How it works
If you connect a personal or shared calendar, the integration works both ways: i-Reserve adds bookings to Outlook as appointments, and if you move or cancel an appointment in Outlook, the booking is updated. A new appointment in that calendar becomes a booking on the linked object. If you connect your meeting room calendars, the integration works one way: whatever is booked in a room's calendar in Outlook arrives as a booking on the matching object in i-Reserve. Changes come in almost immediately.
What it delivers
Your team sees at a glance what an appointment is about, at the office and on the go. You decide which object, customer and booking fields go into the subject and description. Availability stays up to date, even when colleagues book a room directly in Outlook, so you avoid double bookings.
What you need
For this integration you need a Microsoft 365 environment with an app registration in Microsoft Entra ID. For your meeting room calendars, a change in Exchange administration is also needed.

Extra options
Teams meeting link: i-Reserve can automatically create a Microsoft Teams link and add the customer as an attendee.
Hundreds of rooms: you link each room to its own object, even at large scale.
Reminder: send a reminder through Outlook a few minutes before the appointment.
How to switch it on
- Register an app in Microsoft Entra ID
- In i-Reserve, connect the Microsoft account or your room calendars
- Choose per status when an appointment is created or removed, and test
Simply do it yourself, or have it included in the setup.
Frequently asked questions about Outlook
Is the Outlook integration two-way?
For personal and shared calendars it is: i-Reserve puts bookings into Outlook as appointments, and if you move or cancel an appointment in Outlook, the booking is updated. For meeting room calendars the integration works one way: whatever is booked in a room's calendar in Outlook becomes a booking on the matching object in i-Reserve.
Is a Teams meeting link created automatically?
It can be. If you want, i-Reserve automatically creates a Microsoft Teams link for an appointment and adds the customer as a participant straight away, so everyone has the right link immediately.
Can I link meeting rooms?
Yes. Besides personal and shared calendars, you can also link the calendars of your meeting rooms. You link each room to its own object in i-Reserve, also on a large scale. Room calendars need a change in Exchange administration.
What happens if I reschedule or cancel a booking?
The integration updates the related appointment: with a new date or time the appointment moves along, and with a cancellation the appointment is deleted or cancelled. The appointment is recognised by its own identifier, even if the subject changes.
Do I need to connect my own Microsoft account?
Yes, the integration works with your own Microsoft 365 environment, with an app registration in Microsoft Entra ID. For personal calendars you connect with a Microsoft login; for meeting room calendars a change in Exchange administration is needed as well.
Which booking details go into the calendar?
Date and time are always synchronised. On top of that, you decide which object, customer and booking fields go into the subject and description, so the calendar shows exactly the information you want to see.
Which Outlook calendars does the integration work with?
The integration works with the calendars in your Microsoft 365 environment: a personal or shared calendar, or the calendar of a meeting room. The bookings appear there automatically.
