Who's Teaching the Class? Link Trainers to Your Course Offering Without a Single Mistake
It's every planner's worst nightmare. You've put together the perfect course series. Registrations are flooding in, Room A is booked, and the coffee has been ordered. And then, two days before the start, you get an email from lecturer Henk: "Oh, did I not mention I'm on holiday?"
There goes your planning. And there goes your peace of mind.
Bringing supply and demand together for courses is a complex puzzle. You're not only dealing with an available space (the classroom), but also with an available person (the trainer). And while a classroom patiently waits until it's needed, people have holiday days, doctors' appointments, or may already be scheduled with another client.
Are you still using Excel spreadsheets or separate calendars to manage all this? Then the risk of a double booking is considerable. i-Reserve solves this puzzle for you by managing trainers just as intelligently as your classrooms. In this article, we explain how to link lecturers to your course offering without a single mistake.
People Are 'Resources' Too
In i-Reserve, we often talk about 'Resources'. That might sound a little technical and impersonal when you're referring to your favourite lecturers, but it's the foundation of a watertight schedule.
A resource is essentially everything you need to make a booking possible. That could be a tennis court, a projector, a meeting room, or a person.
By adding your trainers to the system as a resource of the type 'Staff', you give them their own identity in the planning. You enter them with their first and last name and, crucially, you can then link them to activities.
This is where the logic begins. The system now knows: for the course 'Bookkeeping for Beginners', I don't just need 'Room 3' — I also need 'Lecturer Peters'.
Real-Time Checks: The Final Editor of Your Schedule
So how do you prevent 'Lecturer Peters' from being double-booked? Simple: the system keeps watch alongside you.
When you schedule a new course and select a member of staff in the personnel block, i-Reserve instantly runs an availability check in the background.
- Is the lecturer already scheduled for another class at that time?
- Has the lecturer requested leave?
- Is it outside their working hours?
If the answer to any of these questions is 'yes', you receive an immediate notification. The system protects you from yourself. You can only confirm the booking once both the room and the trainer have given the green light. This brings peace of mind. No more squinting at three different Outlook calendars or hoping you've remembered everything correctly.
Bulk Actions: Saving Time at Scale
Have you got a ten-week course series? Then the last thing you want is to manually select the same lecturer ten times over. With the Bulk Scheduling feature, you select the entire series in one go and assign the regular lecturer in a single step. The system then checks availability for all ten dates at once.
No More Go-Between: Let Trainers Manage It Themselves
As a planner, you're often the go-between for information. "Are you free on Tuesday?" "No, I've got a dentist appointment." "Right, what about Wednesday?"
All that emailing and calling eats up an enormous amount of time. Why not turn it around?
In i-Reserve, you can link the resource (the trainer) to a user account. This gives your lecturers and trainers access to their own section of the system.
This comes with two major advantages:
1. They manage their own availability
Trainers can log in themselves and indicate when they are or aren't available to work.
- The Freelancer: Often works on an hourly basis. They can specify exactly which sessions they're available for you in the system.
- The Full-Timer: Works for you on a permanent basis but also takes holidays. They simply enter their leave or absence.
You see this reflected in your schedule immediately. Is a trainer showing as 'red' in the rota? Then you know there's no point ringing them.
2. They can see their own schedule
"Where am I supposed to be tomorrow again?" A trainer no longer needs to ask you that. They log in and see their personal calendar, including locations and times. Everyone stays informed, without you having to email rosters every day.
Visual Overview
Sometimes you just want to see at a glance how things are shaping up. In the i-Reserve schedule, you can work with colour coding per member of staff.
This way, in the monthly overview you can instantly see:
- Blue is Lecturer Jan.
- Green is Lecturer Els.
- Grey means not yet filled in.
You can see straight away where the gaps are and whether the workload is fairly distributed.
You Handle the Strategy, We Handle the Puzzle
Planning courses and training sessions is a human endeavour. You need to consider the right match between the group and the lecturer. That's where your expertise lies. Checking whether that lecturer happens to already be in another room is a matter of calculation. That's where our expertise lies.
By adding your trainers as resources in your system, you remove the room for error from your process. You prevent double bookings, embarrassing calls to course participants, and stress on the work floor.
