Are you still standing on the jetty on a Saturday morning with a little envelope of cash in your hands? Or are you struggling at the counter, manually processing a deposit payment on the card machine, while the next group of renters is already waiting impatiently?

Collecting a deposit is a necessary evil for rental businesses — whether you hire out motorboats, trailers, or holiday cottages. You want peace of mind. You want renters to treat your property with care. But the whole rigmarole with cash is simply outdated. It's unsafe (think: a full till), it's prone to errors (think: human arithmetic mistakes), and it costs you far too much time.

It's time to throw that administrative hassle overboard. With i-Reserve, you manage deposits digitally — securely, arranged in advance, and without any disputes afterwards.

Why would you still work with cash?

Let's be honest: nobody enjoys a deposit transaction at the counter.

For the customer, it's an extra hurdle ("Oops, I need to pop to the cash machine"). For you, it's an administrative task that keeps you from what you actually want to be doing: giving your customer a fantastic day. Cash also carries risks — theft, loss, or that one note that blows away in the wind on the jetty.

By digitalising the process, you project professionalism. You show that you have everything under control. And more importantly: you already have the financial security in place before the customer receives the key.

Step 1: The settings (You set the rules)

In i-Reserve, collecting a deposit is not a complicated custom solution — it's a standard option you can enable per product.

Hiring out a luxury motorboat? The risk is greater than with a canoe. You can therefore set the exact deposit amount per product, or per 'resource'.

You also have full control over when the customer is informed about it.

  • Show immediately: Want the customer to see straight away during online booking that a £150 deposit applies? Set the 'Product deposit type' to 'Yes'. This creates clarity from the outset.
  • Show later: Want to keep the barrier low and only include the deposit on the invoice? That's possible too.

The system calculates automatically. The rental price plus the deposit forms the total amount. No calculator required.

Step 2: Pay in advance = peace of mind

The ideal scenario is of course when everything is arranged before the customer arrives at your door. With the Online Payments module, this becomes a reality.

You connect i-Reserve easily to well-known payment providers such as Mollie, Buckaroo, or Stripe. This allows the customer to pay directly during the reservation process via iDEAL or Credit Card.

This offers two major advantages:

  1. Commitment: A customer who has already paid (deposit included) will show up. No-shows become a rare occurrence.
  2. Speed at the counter: All you need to do is hand over the key and wish them a great day. The financial processing is already taken care of.

In your reservations overview, you can see exactly who has paid. The BAIL (deposit) and PAID columns give you an instant overview. Showing green? Off you go.

Step 3: Processing returns (Damage or refuelling?)

Then comes the moment of truth: the return. The boat comes back. Hopefully in perfect condition — but sometimes reality tells a different story. The tank hasn't been refuelled, a fender is missing, or there's a scratch on the hull.

In the past, this meant a tug-of-war with change from the till ("I'll need to hold back £20 for the fuel"). In i-Reserve, you resolve this with the Extra consumption feature.

On the customer page or within the reservation, you add the extra charges with a single click.

  • Was the tank empty? Add the 'Refuelling' product.
  • Is cleaning required? Add 'Cleaning costs'.
  • Is there damage? Enter the damage amount.

Working smarter with templates

To make life easier for yourself, you can work with templates for common charges. You no longer need to type "Costs for refuelling with petrol" every time. Simply select the template, the system fills in the description and price, and you're done.

The final settlement: Digital reconciliation

This is where the true power of the system shines through. You have a paid deposit (say £150) and you have additional charges (say £30 for fuel). i-Reserve reconciles this neatly on your behalf.

The customer receives a credit invoice or statement showing: Deposit £150 - Fuel £30 = £120 to be refunded. Depending on your payment provider and settings, you can refund this amount via the original payment method, or transfer it manually.

Everything is recorded. No disputes, no handwritten notes — just accurate, reliable records.

Security first

Alongside convenience, security is a compelling argument. By digitalising the flow of money, you hold less cash on your premises. That's safer for both you and your staff. You also meet the expectations of the modern consumer, who often doesn't carry cash at all.

You handle the service, we handle the numbers

Rental is a wonderful business. It's all about facilitating enjoyment. Don't let those tiresome financial risks spoil the atmosphere.

By automating the deposit process in i-Reserve, you protect both your assets and your time. You have the certainty that the money is in, and you handle any damage professionally. That way, the mood on the jetty stays positive — always.
